Job description

Reservation Management: Oversee the reservation process for various services offered by the automotive dealership or rental company, including vehicle rentals, test drives, service appointments, and special events. Ensure that reservations are accurately recorded, confirmed, and scheduled in accordance with customer preferences and availability. Booking Systems Administration: Manage reservation booking systems and software platforms used to record, track, and manage reservations. Ensure that booking systems are updated with current inventory availability, pricing information, and service schedules. Troubleshoot technical issues and provide support to staff members using booking systems. Customer Service: Provide excellent customer service to clients by assisting with reservation inquiries, providing information about available vehicles and services, and addressing customer concerns or special requests. Handle customer inquiries via phone, email, or in-person interactions and ensure timely and courteous responses. Sales Support: Collaborate with sales teams to facilitate test drive reservations and vehicle demonstrations for potential customers. Coordinate with sales representatives to schedule appointments, prepare vehicles for test drives, and ensure that customers receive a personalized and informative experience. Inventory Management: Monitor vehicle inventory levels and availability to ensure that reservations can be accommodated based on the availability of vehicles. Coordinate with inventory managers or procurement teams to update inventory records, allocate vehicles for reservations, and maintain an accurate inventory database. Event Coordination: Assist in coordinating special events, promotions, or marketing campaigns that involve vehicle reservations or test drives. Collaborate with marketing teams to promote events, manage RSVPs, and ensure that vehicles are prepared and available for customer demonstrations or showcases. Billing and Payment Processing: Handle billing and payment processing for reservation services, including collecting deposits, processing payments, and issuing invoices or receipts to customers. Ensure that billing information is accurate, payments are processed securely, and records are maintained in compliance with accounting procedures. Performance Tracking and Reporting: Monitor reservation activity, analyze booking trends, and generate reports on reservation metrics such as booking volume, cancellation rates, and revenue generated from reservation services. Use data insights to identify opportunities for improvement and implement strategies to optimize reservation processes and customer satisfaction. Training and Development: Provide training and guidance to reservation staff members on booking procedures, customer service best practices, and use of reservation management systems. Foster a collaborative and supportive team environment to ensure that staff members are equipped with the knowledge and skills needed to effectively manage reservations and serve customers. Compliance and Quality Assurance: Ensure compliance with company policies, industry regulations, and customer service standards related to reservation management. Implement quality assurance measures to monitor reservation accuracy, customer satisfaction, and adherence to service standards, and take corrective action as needed to address any issues or discrepancies.
