Handling Reservations: The primary responsibility is to manage reservations made by guests through various channels, including phone calls, emails, online booking systems, and in-person inquiries. Customer Service: Reservations Executives provide excellent customer service by assisting guests with inquiries about room availability, rates, amenities, and special requests. They ensure guests receive accurate and timely information to make informed booking decisions. Booking Management: They enter booking details into the property management system (PMS) or reservation software accurately and efficiently. This includes updating reservation records, confirming bookings, and processing cancellations or modifications as per hotel policies. Sales and Upselling: Reservations Executives may engage in upselling additional services, such as room upgrades, dining options, spa treatments, or packages, to enhance the guest experience and increase revenue. Coordinating with Other Departments: They collaborate closely with housekeeping, front desk, and other hotel departments to ensure seamless communication and coordination regarding guest arrivals, room assignments, special requests, and service delivery. Payment Processing: Reservations Executives handle payment transactions, including processing credit card payments, issuing invoices, and collecting deposits or prepayments for reservations. Inventory Management: Monitoring room availability and managing room inventory to maximize occupancy and revenue. They maintain accurate records of room allocations, allocations, and availability across different booking channels. Reporting and Analysis: They generate daily, weekly, and monthly reports on reservation metrics, occupancy rates, revenue performance, and booking trends. Reservations Executives analyze data to identify opportunities for revenue optimization and operational improvements. Customer Relationship Management: Building and maintaining relationships with repeat guests, travel agents, corporate clients, and online booking platforms. They handle guest feedback, complaints, and requests professionally and promptly. Compliance and Procedures: Adhering to hotel policies, procedures, and standards related to reservations, guest privacy, data security, and payment processing. Reservations Executives ensure compliance with legal and regulatory requirements.
