Greeting and Welcoming Visitors: Welcoming visitors, clients, and guests with a friendly and professional demeanor. You greet visitors upon arrival, provide them with information or assistance as needed, and direct them to the appropriate person or department. Answering and Directing Phone Calls: Answering incoming phone calls promptly and professionally. You screen calls, take messages, and transfer calls to the appropriate individual or department. You also handle inquiries, provide information, and assist callers with their needs. Managing Reception Area: Ensuring the reception area is clean, organized, and presentable at all times. You maintain a tidy workspace, arrange seating for visitors, and display informational materials or company literature as appropriate. Handling Mail and Deliveries: Sorting and distributing incoming mail, packages, and deliveries. You receive and sign for packages, notify recipients of their arrival, and coordinate with mail carriers or couriers for outgoing shipments. Scheduling Appointments and Meetings: Managing calendars and scheduling appointments or meetings for employees and clients. You coordinate meeting room bookings, send meeting invitations, and confirm appointments with attendees to ensure smooth scheduling. Providing Administrative Support: Assisting with various administrative tasks such as filing, photocopying, scanning, and faxing documents. You provide support to other departments as needed and assist with basic clerical duties to support office operations. Customer Service and Inquiry Handling: Providing excellent customer service to visitors, callers, and clients. You address inquiries, provide information, and assist with requests in a timely and professional manner, ensuring a positive experience for all interactions. Maintaining Visitor Logs and Records: Keeping accurate records of visitor arrivals and departures using visitor logbooks or electronic systems. You record visitor information, issue visitor badges or passes, and ensure compliance with security protocols and access policies. Emergency Response and Security: Responding calmly and effectively to emergencies or security incidents that may occur on-site. You follow established procedures for emergency situations such as medical emergencies, evacuations, or security breaches, and alert appropriate personnel or authorities as needed. Communication and Coordination: Communicating effectively with colleagues, supervisors, and external stakeholders. You relay messages, share important information, and collaborate with team members to ensure seamless communication and coordination across departments.
