Greeting and Welcoming: Welcome visitors, clients, and employees as they arrive at the office or reception area. Greet guests in a professional and courteous manner, offering assistance and directing them to the appropriate person or department. Answering and Directing Calls: Manage incoming phone calls, including screening and transferring calls to the correct individuals or departments. Take messages accurately and relay them promptly to the intended recipients. Scheduling and Appointment Management: Schedule appointments, meetings, and conference rooms for staff and clients using scheduling software or calendars. Coordinate meeting logistics, such as room setup and catering arrangements. Customer Service: Provide excellent customer service to visitors and callers by addressing inquiries, providing information about the organization, and assisting with general requests. Handle inquiries courteously and efficiently. Administrative Support: Assist with administrative tasks such as sorting and distributing mail, managing office supplies, photocopying documents, and maintaining filing systems. Handle confidential and sensitive information with discretion. Visitor and Vendor Management: Maintain a log of visitors and vendors entering the premises. Issue visitor badges, provide directions, and ensure compliance with security protocols and access procedures. Communication Management: Manage incoming and outgoing correspondence, including emails, faxes, and courier deliveries. Distribute messages and information to appropriate personnel in a timely manner. Record Keeping and Data Entry: Maintain accurate records of visitor logs, appointment schedules, and other administrative documentation. Enter data into computerized systems or databases as required. Problem Solving: Handle unexpected situations, such as scheduling conflicts or urgent inquiries, with professionalism and efficiency.
