Job description

Greeting Visitors: Welcoming visitors to the office, greeting them with a friendly and professional demeanor, and directing them to the appropriate person or department. Answering Phones: Operating the telephone switchboard, answering incoming calls, screening and forwarding calls to the appropriate individuals or departments, and taking messages when necessary. Handling Inquiries: Responding to inquiries from callers, visitors, and clients regarding the organization's products, services, or procedures, and providing information or assistance as needed. Scheduling Appointments: Managing the appointment calendar, scheduling meetings, appointments, and reservations for clients, staff members, or executives, and sending appointment reminders as necessary. Managing Mail and Packages: Sorting and distributing incoming mail, packages, and deliveries to the appropriate recipients, and preparing outgoing mail for pickup or delivery. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable, and ensuring that reading materials, brochures, and promotional materials are stocked and available for visitors. Handling Administrative Tasks: Assisting with various administrative tasks such as filing, photocopying, scanning documents, and preparing correspondence or reports as requested by staff members or management. Managing Visitor Access: Registering and issuing visitor badges or passes to guests, monitoring visitor access to the premises, and enforcing security protocols and procedures. Coordinating Facilities: Assisting with the coordination of office facilities and services such as meeting room reservations, catering arrangements, equipment rentals, and maintenance requests. Providing Customer Service: Providing excellent customer service to visitors, clients, and customers by addressing their needs, resolving complaints or issues, and ensuring a positive and professional experience. Data Entry and Record Keeping: Entering visitor information, appointment details, and other data into computer systems or databases, and maintaining accurate records and logs of visitor traffic, appointments, and inquiries. Assisting with Special Projects: Assisting with special projects, events, or initiatives as assigned by management, such as organizing company events, preparing marketing materials, or conducting research.
