Greeting and Welcoming: Welcome visitors and guests with a friendly and professional demeanor. Provide a warm reception, offer assistance, and direct them to the appropriate person or department. Answering Calls: Handle incoming calls, screen and direct calls to the appropriate individuals or departments. Provide information, take messages, and ensure timely communication. Scheduling and Appointment Management: Manage schedules, appointments, and meeting room bookings. Coordinate with staff to schedule appointments and maintain accurate calendars. Mail Handling: Sort and distribute incoming mail and packages. Process outgoing mail and shipments, including preparing labels and coordinating courier services. Administrative Support: Provide administrative support to various departments, including typing, filing, scanning, and photocopying documents. Assist with data entry, record keeping, and other clerical tasks as needed. Visitor Management: Register visitors, issue visitor badges, and maintain visitor logs. Ensure compliance with security procedures and monitor access to the premises. Customer Service: Provide exceptional customer service to all guests, clients, and employees. Address inquiries, provide information, and assist with requests in a courteous and professional manner. Maintaining Front Desk Area: Keep the front desk area clean, organized, and presentable. Ensure that informational materials, such as brochures and pamphlets, are stocked and readily available. Technology Management: Operate and maintain office equipment such as telephones, printers, copiers, and fax machines. Troubleshoot minor technical issues and coordinate repairs or maintenance as needed. Security and Safety: Monitor the premises for security and safety purposes. Implement security protocols, such as verifying identification and enforcing access control measures. Emergency Response: Follow established procedures in the event of emergencies, such as fire alarms, medical incidents, or security breaches. Provide assistance and support as directed by emergency response protocols. Team Collaboration: Collaborate with colleagues and other departments to ensure efficient operation of the front desk and seamless communication across the organization.
