Greeting and Welcoming: Welcome visitors, clients, and employees as they enter the office or facility. Provide a warm and professional greeting, assist with sign-in procedures, and direct individuals to the appropriate person or department. Answering Phones: Manage incoming calls on multi-line phone systems, promptly answering inquiries, transferring calls to the appropriate party, or taking messages as needed. Maintain a polite and professional telephone manner at all times. Scheduling Appointments: Assist in scheduling appointments, meetings, and conference room bookings for staff and visitors. Coordinate schedules, confirm appointments, and send reminders to ensure smooth scheduling operations. Handling Inquiries: Respond to inquiries from visitors, clients, and employees regarding company products, services, policies, and procedures. Provide accurate information and assistance or direct inquiries to the appropriate department or personnel for resolution. Administrative Support: Provide administrative assistance to various departments as needed, including data entry, filing, photocopying, and document preparation. Assist with office supply management, inventory control, and ordering supplies as necessary. Customer Service: Provide excellent customer service by addressing inquiries, resolving issues, and ensuring a positive experience for all visitors and clients. Act as a resource for information and assistance, anticipating and meeting the needs of visitors and clients. Mail and Package Handling: Receive, sort, and distribute incoming mail, packages, and deliveries. Prepare outgoing mail and packages for shipment, ensuring accurate addressing and postage. Security and Access Control: Monitor access to the facility, ensuring that visitors sign in and receive visitor badges as required. Follow security procedures, such as verifying identification and enforcing access policies to maintain a safe and secure environment. Technology Management: Operate office equipment such as photocopiers, printers, and fax machines. Assist visitors with connecting to Wi-Fi networks and accessing digital resources as needed. Team Collaboration: Collaborate with other administrative staff, departments, and teams to support overall office operations and workflow. Communicate effectively with colleagues and supervisors to ensure efficient coordination and teamwork. Problem Solving: Handle unexpected situations, conflicts, or emergencies calmly and efficiently. Use problem-solving skills and good judgment to address issues and resolve conflicts in a professional manner.
