Greeting Visitors: Warmly welcome guests as they arrive, providing a positive first impression. Direct them to the appropriate person or area, offer refreshments, and ensure their comfort while they wait. Answering Calls: Manage incoming phone calls, transferring them to the appropriate department or individual. Take messages accurately and relay them promptly to the intended recipient. Handling Correspondence: Sort and distribute mail, packages, and deliveries. Manage outgoing mail, ensuring it's sent promptly and accurately. Scheduling: Maintain appointment calendars for executives or departments. Schedule meetings, conference rooms, and appointments as needed. Administrative Support: Provide general administrative support, such as photocopying, scanning, and filing documents. Assist with data entry, record-keeping, and maintaining office supplies. Security and Access Control: Monitor access to the building, ensuring visitors sign in and receive visitor badges. Implement security protocols and respond to emergency situations as needed. Customer Service: Assist visitors and callers with inquiries, providing helpful and accurate information. Handle complaints or issues calmly and professionally, escalating them to the appropriate person if necessary. Technology Management: Operate and maintain office equipment, such as telephones, fax machines, printers, and photocopiers. Troubleshoot minor technical issues and coordinate repairs when needed.
