Welcoming Visitors: Greet visitors and direct them to the appropriate person or department. Provide a warm and professional welcome that reflects positively on the organization. Answering Phone Calls: Handle incoming phone calls, take messages, and transfer calls to the relevant individuals or departments. Provide information and assist callers as needed. Scheduling Appointments: Manage appointments and schedules for meetings, conferences, and interviews. Coordinate room bookings and notify parties involved. Managing Incoming and Outgoing Mail: Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and arrange for courier services as required. Maintaining Reception Area: Keep the reception area tidy and presentable. Ensure magazines, brochures, and other informational materials are stocked and organized. Administrative Support: Assist with administrative tasks such as data entry, filing, photocopying, and faxing documents. Provide support to other departments as needed. Customer Service: Provide exceptional customer service to clients, visitors, and employees. Address inquiries, resolve issues, and handle complaints courteously and efficiently. Security and Access Control: Monitor and control access to the premises. Issue visitor badges or passes and ensure compliance with security procedures. Handling Inquiries: Respond to inquiries via email, phone, or in person regarding the organization’s services, facilities, and general information. Direct inquiries to the appropriate personnel. Emergency Procedures: Be familiar with emergency procedures and protocols. Act calmly and efficiently in emergency situations such as fire alarms or medical emergencies. Skills: Communication Skills: Excellent verbal and written communication skills. Ability to interact professionally with individuals at all levels, both in person and over the phone.
