Greeting and Assisting Customers: Welcoming customers as they arrive, answering inquiries, and providing assistance with scheduling appointments, making reservations, or directing them to the appropriate department. Managing Phone Calls: Handling incoming calls, transferring calls to the appropriate personnel, taking messages accurately, and providing information about the company's services and offerings. Scheduling Appointments: Coordinating and scheduling appointments for customers with service advisors, mechanics, or sales representatives. This involves managing appointment calendars, confirming appointments, and rescheduling as necessary. Customer Check-in and Check-out: Managing the check-in and check-out process for customers dropping off or picking up their vehicles for service or repairs. This includes verifying customer information, processing paperwork, and explaining service details or charges. Cash Handling and Payment Processing: Accepting payments from customers for services rendered or parts purchased, processing credit card transactions, issuing receipts, and maintaining accurate cash drawer balances. Maintaining Records: Keeping records of customer interactions, service appointments, and vehicle service history in the company's database or appointment scheduling system. This ensures easy access to customer information for future reference. Responding to Emails and Correspondence: Monitoring and responding to emails, faxes, and other forms of correspondence in a timely manner. This may involve forwarding inquiries to the appropriate department or providing requested information to customers. Handling Administrative Tasks: Assisting with various administrative tasks such as filing paperwork, updating customer databases, ordering office supplies, and performing other clerical duties as needed to support the office staff. Ensuring Front Desk Area is Tidy and Organized: Keeping the reception area clean, organized, and presentable for customers. This includes arranging reading materials, maintaining promotional displays, and ensuring cleanliness at all times. Providing Excellent Customer Service: Delivering friendly, professional, and courteous service to all customers, whether in person, over the phone, or via email. Addressing customer concerns or complaints promptly and escalating issues to management when necessary. Adhering to Company Policies and Procedures: Following company policies and procedures related to customer service, confidentiality, safety, and security. This includes complying with privacy regulations when handling customer information. Team Collaboration: Collaborating with other staff members, including service advisors, technicians, sales representatives, and management, to ensure seamless communication and efficient operations throughout the facility.
