Greeting and Welcoming: Welcoming visitors, clients, and customers in a friendly and professional manner, and directing them to the appropriate person or department. Answering Phone Calls: Handling incoming phone calls, taking messages, and transferring calls to the relevant individuals or departments. Scheduling and Appointments: Managing schedules and appointments, including booking meeting rooms and coordinating calendars for executives or other staff members. Customer Service: Providing excellent customer service by addressing inquiries, resolving issues, and ensuring a positive experience for visitors and callers. Administrative Support: Performing various administrative tasks such as sorting mail, filing documents, photocopying, and handling office supplies inventory. Information Dissemination: Providing information to visitors or callers about the organization's products, services, and policies. Security and Access Control: Monitoring and controlling access to the premises, ensuring security protocols are followed, and maintaining visitor logs. Multitasking and Prioritization: Managing multiple tasks simultaneously, prioritizing workload effectively, and adapting to changing priorities or situations. Communication Skills: Demonstrating strong verbal and written communication skills to interact effectively with a diverse range of people, both in person and over the phone. Technology Proficiency: Using office equipment such as computers, printers, and software applications (e.g., Microsoft Office suite, email, and scheduling software) proficiently. Problem Solving: Handling unexpected situations calmly and efficiently, and knowing when to escalate issues to management or other departments.
