Greeting and Welcoming: Welcoming visitors with a friendly and professional demeanor, whether in person or over the phone. Creating a positive first impression and ensuring guests feel valued and attended to. Answering Calls and Emails: Handling incoming calls and emails, directing them to the appropriate person or department within the organization. Taking messages accurately and relaying information promptly. Appointment Scheduling: Managing calendars and scheduling appointments for clients, customers, and executives. Ensuring appointments are properly documented and reminders are provided as needed. Customer Service: Providing excellent customer service by addressing inquiries, resolving complaints or concerns, and ensuring timely responses to customer needs. Administrative Support: Assisting with administrative tasks such as data entry, filing, photocopying, and maintaining office supplies. Supporting other departments with administrative tasks as required. Handling Deliveries and Mail: Receiving and sorting mail and packages, coordinating deliveries, and notifying recipients of incoming mail or packages. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable. Ensuring reading materials are stocked, and promotional materials are displayed effectively. Security and Access Control: Monitoring access to the premises, ensuring visitors sign in/out, issuing visitor badges, and following security procedures to maintain a safe environment. Knowledge of Company Policies: Having a good understanding of company policies, procedures, and services to provide accurate information to visitors and callers. Multitasking and Time Management: Managing multiple tasks simultaneously and prioritizing responsibilities effectively. Adapting to changing priorities and handling unexpected situations calmly and efficiently.
