Greeting Visitors: You warmly welcome visitors, guests, and clients as they arrive at the office or facility. Providing a friendly and professional greeting sets a positive tone for their experience. Answering Phone Calls: You handle incoming calls, route them to the appropriate person or department, and take messages when necessary. Clear and courteous communication over the phone is crucial for providing excellent customer service. Managing Incoming and Outgoing Mail: You sort and distribute incoming mail and packages to the appropriate recipients. You may also prepare outgoing mail, including letters, invoices, and packages, for pickup or delivery. Scheduling Appointments: You manage the scheduling of appointments, meetings, and conference room reservations. This involves coordinating availability, confirming appointments with clients or visitors, and updating calendars accordingly. Providing Information: You serve as a source of information for visitors and callers, providing details about the organization, its services, hours of operation, and directions. You may also provide basic assistance with forms, documents, or inquiries. Maintaining Reception Area: You keep the reception area clean, organized, and presentable. This includes tidying up magazines, ensuring seating is available for visitors, and displaying relevant signage or promotional materials. Assisting with Administrative Tasks: You may support administrative staff with various tasks such as data entry, filing, photocopying, and scanning documents. Your ability to multitask and prioritize tasks efficiently is valuable in supporting overall office operations. Security and Access Control: You monitor access to the premises, ensuring that visitors sign in and out as required. You may also issue visitor badges or temporary access passes and notify staff of visitor arrivals.
