Greeting and Welcoming Clients: As the first point of contact for clients, you greet them warmly as they arrive at the spa. You create a positive and welcoming atmosphere and provide assistance as needed. Scheduling Appointments: You manage the spa's appointment book and schedule appointments for clients based on their preferences and availability. This involves coordinating with therapists, estheticians, and other staff to ensure smooth scheduling and minimize wait times. Answering Phone Calls and Emails: You handle incoming phone calls, emails, and inquiries from clients regarding services, availability, pricing, and other information. You provide accurate and helpful responses or direct inquiries to the appropriate staff members. Checking In and Registering Clients: You check in clients as they arrive for their appointments, verify their information, and register new clients in the spa's database. You may also collect payment or process payments for services rendered. Providing Information and Assistance: You provide information to clients about spa services, packages, promotions, and membership options. You address any questions or concerns they may have and offer assistance to ensure a positive experience. Maintaining Reception Area: You keep the reception area clean, organized, and well-stocked with promotional materials, brochures, and product displays. You may also be responsible for arranging seating, refreshments, and amenities for clients waiting for their appointments. Handling Administrative Tasks: You assist with various administrative tasks such as filing paperwork, updating client records, managing inventory, and processing transactions. You may also assist with billing, invoicing, and reconciling financial records. Managing Spa Retail Sales: If the spa sells retail products such as skincare products, bath products, or gift items, you may assist clients with product selection, provide product recommendations, and process sales transactions. Resolving Client Issues: If clients have complaints, concerns, or special requests, you address them promptly and professionally, seeking resolution to ensure client satisfaction. You escalate more complex issues to management as needed. Adhering to Policies and Procedures: You ensure compliance with spa policies, procedures, and protocols, including confidentiality and privacy guidelines. You maintain professionalism and confidentiality when handling sensitive client information.
