Job description

Greeting and Welcoming Visitors: Warmly greeting and welcoming visitors, clients, and customers as they arrive at the office or reception area. Directing visitors to appropriate personnel or departments within the organization. Answering and Directing Phone Calls: Managing incoming calls on a multi-line telephone system and directing calls to the appropriate individuals or departments. Taking messages accurately and ensuring they are delivered promptly to the intended recipients. Customer Service: Providing excellent customer service by addressing inquiries and requests from visitors, clients, and customers promptly and professionally. Assisting with general information and inquiries about the organization’s products, services, or operations. Scheduling and Appointments: Managing and scheduling appointments, meetings, and conference rooms for staff and clients. Sending reminders and confirming appointments as necessary. Mail and Email Management: Sorting and distributing incoming mail and packages. Managing outgoing mail and packages, including courier services. Administrative Support: Assisting with various administrative tasks such as typing, filing, photocopying, and scanning documents. Maintaining office supplies inventory and placing orders when necessary. Security and Access Control: Monitoring and controlling access to the premises, ensuring visitors sign in and adhere to security protocols. Issuing visitor badges or passes as required. Database Management: Maintaining and updating contact lists and directories for internal and external use. Entering visitor and client information accurately into the computer system. Problem Solving: Handling minor customer complaints or issues and escalating to the appropriate department or manager when necessary. Resolving inquiries or routing them to the appropriate resource. Team Collaboration: Collaborating with other administrative staff and departments to ensure efficient operations and communication. Supporting colleagues and assisting with special projects or tasks as needed.
