Greeting Visitors: Welcoming visitors, clients, and employees to the office with a friendly and professional demeanor. Answering Phone Calls: Managing incoming calls, routing them to the appropriate person or department, and taking messages when necessary. Responding to Emails: Monitoring and responding to emails promptly, forwarding important messages to the relevant individuals or departments. Scheduling Appointments: Managing appointment calendars for meetings, interviews, and conferences, and coordinating schedules with staff members. Handling Mail and Deliveries: Sorting and distributing mail, packages, and deliveries to the appropriate recipients. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable, ensuring it reflects a professional image of the company. Providing Information: Assisting visitors with general inquiries about the company, its services, and directions within the office building. Managing Visitor Logs: Keeping track of visitors by maintaining a visitor log and issuing visitor badges as needed for security purposes. Assisting with Administrative Tasks: Providing administrative support to various departments, such as data entry, filing, and photocopying documents. Handling Special Requests: Assisting with special requests from clients or employees, such as booking travel arrangements or arranging catering for meetings. Emergency Procedures: Being familiar with emergency procedures and protocols, such as evacuation plans and first aid, to ensure the safety of employees and visitors. Customer Service: Providing excellent customer service to all visitors and callers, addressing their needs promptly and professionally.
