Greeting Visitors and Guests: Receptionists warmly welcome visitors, guests, and clients as they arrive at the office or facility. They greet them courteously, inquire about their purpose of visit, and provide assistance or directions as needed. Answering and Directing Phone Calls: Receptionists manage incoming phone calls, answering inquiries, taking messages, and directing calls to the appropriate person or department. They maintain a professional and polite telephone manner, providing information and assistance to callers. Managing Mail and Deliveries: Receptionists handle incoming and outgoing mail, packages, and deliveries. They sort and distribute mail to the appropriate recipients, prepare outgoing mail for pickup or delivery, and coordinate courier services as needed. Scheduling Appointments and Meetings: Receptionists schedule appointments, meetings, and reservations for clients, visitors, and employees. They manage calendars, coordinate meeting room bookings, and send meeting invitations or reminders to participants. Maintaining Reception Area: Receptionists ensure that the reception area is clean, organized, and well-maintained at all times. They arrange seating, display informational materials, and keep promotional materials or brochures stocked and organized. Providing Administrative Support: Receptionists provide administrative support to staff members and management as needed. This may include preparing documents, photocopying, scanning, filing, and data entry tasks to assist with office operations. Handling Inquiries and Requests: Receptionists respond to inquiries from visitors, clients, and employees, providing information about the organization, its services, and policies.
