Job description

Welcoming Visitors: Greeting clients, customers, patients, or guests with a friendly and professional demeanor as they arrive at the office or facility. Answering Calls: Managing incoming phone calls, screening and transferring calls to the appropriate individuals or departments, and taking messages accurately. Scheduling Appointments: Managing appointment calendars, scheduling meetings, consultations, and appointments for clients, patients, or employees, and sending reminders as needed. Assisting Visitors: Providing information, directions, or assistance to visitors, clients, or customers, such as helping them fill out forms or directing them to the appropriate department or personnel. Handling Inquiries: Responding to inquiries via phone, email, or in-person, and providing information about the organization, services offered, or general inquiries as needed. Maintaining Records: Maintaining accurate records of appointments, visitor logs, and other relevant documentation, and ensuring confidentiality of sensitive information. Managing Correspondence: Sorting and distributing mail, email, and faxes, and coordinating outgoing mail and packages. Office Maintenance: Keeping the reception area clean, organized, and presentable, and ensuring that office supplies are stocked and replenished as needed. Administrative Support: Providing administrative support to other staff members or departments, such as data entry, filing, photocopying, and assisting with special projects or events. Problem-Solving: Handling inquiries, complaints, or issues from visitors, clients, or employees in a professional and efficient manner, and escalating issues to management when necessary.
