Greeting Visitors: Welcome guests, clients, and visitors to the organization in a friendly and professional manner. Provide directions, information, and assistance as needed to ensure a positive experience. Answering Phone Calls: Handle incoming telephone calls, inquiries, and requests. Direct calls to appropriate individuals or departments, take messages, and provide information or assistance to callers as required. Managing Front Desk: Maintain the reception area, ensuring it is clean, organized, and presentable. Manage visitor sign-in procedures, issue visitor badges, and monitor visitor access to the premises. Scheduling Appointments: Schedule appointments, meetings, and conference room bookings for staff and visitors. Coordinate calendars, confirm appointments, and notify relevant parties of schedule changes or cancellations. Handling Mail and Deliveries: Sort and distribute incoming mail, packages, and deliveries. Prepare outgoing mail and packages for pickup or delivery. Manage courier services and track deliveries as needed. Administrative Support: Provide general administrative support to staff, such as photocopying, scanning, filing, and data entry. Assist with document preparation, correspondence, and other clerical tasks as required. Customer Service: Assist customers, clients, and stakeholders with inquiries, requests, and issues. Address customer concerns or complaints courteously and efficiently, escalating complex issues to appropriate personnel as needed. Security and Access Control: Monitor access to the premises, ensuring that only authorized individuals enter the building. Enforce security protocols, such as visitor registration, ID verification, and access badge issuance. Maintaining Records: Maintain accurate records of visitor logs, appointments, and inquiries. Update contact databases, directories, and other records to ensure they are current and accessible. Emergency Response: Respond calmly and effectively to emergency situations, such as medical emergencies, security incidents, or fire alarms. Follow established protocols for emergency evacuation and communication. Technology Management: Operate and maintain office equipment, such as telephones, fax machines, printers, and photocopiers. Troubleshoot basic technical issues and coordinate repairs or maintenance as necessary. Team Collaboration: Collaborate with colleagues and team members to support office operations and ensure seamless communication and coordination. Assist with special projects, events, or initiatives as required.
