Job description

Greeting and Welcoming Visitors: Welcoming guests and visitors with a warm and friendly demeanor, directing them to the appropriate person or department, and ensuring they feel comfortable and valued. Answering and Directing Phone Calls: Managing incoming calls, screening and transferring them to the appropriate individual or department, taking messages accurately, and providing basic information or assistance as needed. Handling Correspondence: Sorting and distributing incoming mail and packages, coordinating outgoing mail and courier deliveries, and managing email inquiries or correspondence. Scheduling Appointments: Managing calendars and scheduling appointments or meetings for staff members, clients, or guests, ensuring efficient use of time and resources. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable at all times, including arranging seating, replenishing reading materials, and ensuring adequate supplies of office essentials. Providing Information and Assistance: Providing information to visitors and callers about the organization, its products or services, office hours, and other relevant details, as well as assisting with inquiries or requests to the best of your ability. Assisting with Administrative Tasks: Supporting administrative tasks such as data entry, filing, photocopying, scanning documents, and assisting with the preparation of reports or presentations as requested. Handling Special Requests: Handling special requests or accommodations for guests, such as arranging transportation, making restaurant reservations, or providing directions to local attractions. Maintaining Security: Monitoring access to the premises by issuing visitor badges or passes, enforcing security procedures, and notifying appropriate personnel of any security concerns or incidents. Collaborating with Other Departments: Coordinating with other departments within the organization to ensure seamless communication and collaboration, including assisting with guest arrangements for meetings or events.
