Job description

Greeting and Welcoming: Greeting visitors and clients in a courteous and professional manner. Providing a warm welcome and directing them to the appropriate person or department. Answering Calls: Managing incoming calls, screening and transferring calls to the appropriate individual or department. Taking messages accurately and relaying them promptly to the intended recipient. Appointment Scheduling: Scheduling appointments and meetings for staff members and ensuring the availability of meeting rooms or facilities. Managing calendars and updating schedules as needed. Visitor Management: Registering and signing in visitors, issuing visitor badges, and notifying employees of visitor arrivals. Ensuring security protocols are followed and maintaining visitor logs. Handling Mail and Deliveries: Sorting and distributing incoming mail, packages, and deliveries. Arranging for outgoing mail and packages to be picked up or sent out. Administrative Support: Providing basic administrative support such as photocopying, filing, scanning documents, and data entry. Assisting with the preparation of correspondence and reports. Customer Service: Assisting clients, customers, and visitors with inquiries, providing information about the organization, its products or services, and directing them to the appropriate resources. Maintaining Reception Area: Ensuring the reception area is tidy, organized, and presentable at all times. Monitoring and replenishing supplies such as brochures, pens, and reading materials. Communication Coordination: Coordinating internal and external communications via email, phone calls, and in-person interactions. Ensuring messages are relayed promptly and accurately. Emergency Procedures: Being familiar with emergency procedures and protocols. Acting calmly and effectively in emergency situations, such as assisting with evacuation procedures if necessary. Technology Management: Operating office equipment such as telephones, fax machines, photocopiers, and computer systems. Troubleshooting minor technical issues or escalating them to IT support. Professionalism and Etiquette: Upholding professional standards of behavior, confidentiality, and integrity in all interactions. Representing the organization positively and professionally at all times.
