Answering and Directing Phone Calls: Receptionists manage incoming phone calls, screen and direct calls to the appropriate staff members or departments. They provide information, take messages, and handle inquiries effectively. Managing Front Desk Operations: Receptionists oversee front desk operations, including maintaining a tidy and organized reception area, managing visitor sign-in procedures, and ensuring office security protocols are followed. Scheduling and Managing Appointments: Receptionists schedule appointments, meetings, and conference room reservations for staff and clients. They coordinate calendars, send appointment reminders, and manage changes or cancellations as needed. Handling Correspondence: Receptionists manage incoming and outgoing mail, emails, and faxes. They distribute mail to appropriate recipients, prepare outgoing mail, and coordinate courier services as required.
