Job description

Greeting Visitors: Warmly welcoming guests, clients, or customers as they arrive at the office or facility, and directing them to the appropriate person or department. Answering Phone Calls: Managing incoming phone calls, screening and transferring calls to the appropriate individuals or departments, and taking messages when necessary. Handling Mail and Deliveries: Sorting and distributing incoming mail, packages, and deliveries to the appropriate recipients, and arranging outgoing mail or shipments as needed. Scheduling Appointments: Managing appointment calendars and schedules for executives, managers, or other staff members, and coordinating meeting rooms or conference spaces accordingly. Providing Information: Responding to inquiries from visitors, callers, or clients regarding company services, products, hours of operation, and other general information. Administrative Support: Assisting with various administrative tasks such as data entry, filing, photocopying, and scanning documents to support the efficient operation of the office. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable, including tidying up magazines, brochures, and other materials for visitors. Security and Access Control: Monitoring access to the premises by issuing visitor badges, verifying identification, and enforcing security protocols to ensure the safety and security of employees and visitors. Handling Emergencies: Responding calmly and effectively to emergency situations such as medical emergencies, security incidents, or building evacuations, and following established protocols for reporting and response. Technology Assistance: Providing basic technical support and assistance to visitors or staff members with office equipment such as printers, copiers, and conference room AV systems. Clerical Duties: Assisting with clerical tasks such as typing correspondence, organizing files, and maintaining records or databases as needed. Customer Service: Ensuring excellent customer service by being courteous, helpful, and professional in all interactions with visitors, callers, and colleagues.
