Greeting Visitors: You warmly welcome visitors, clients, and guests as they arrive at the office or facility. A friendly and professional demeanor sets a positive tone for their visit. Answering Calls: Handling incoming phone calls is a key aspect of the job. You'll need to route calls to the appropriate person or department, take messages accurately, and provide information or assistance as needed. Scheduling Appointments: Managing appointment schedules for clients, customers, or employees is often part of the role. This includes coordinating meeting times, booking conference rooms, and ensuring appointments are spaced appropriately. Managing Mail and Packages: Receiving and distributing incoming mail, packages, and deliveries is another common duty. You'll ensure items reach the intended recipients promptly and accurately. Customer Service: Providing excellent customer service to visitors, callers, and clients is essential. This includes addressing inquiries, resolving issues, and directing individuals to the appropriate resources or personnel for assistance. Administrative Support: Offering general administrative support to the office is often part of the role. This can include tasks such as photocopying, filing, faxing, and data entry. Maintaining Reception Area: Keeping the reception area clean, organized, and well-stocked with reading materials and other resources for visitors contributes to a professional atmosphere. Security and Access Control: Monitoring visitor access to the premises ensures the safety and security of the facility. This may involve issuing visitor badges, signing in guests, and following established security protocols.
