Job description

Welcoming Visitors: Greeting and welcoming visitors with a warm and professional demeanor. This includes offering them refreshments, notifying the appropriate person of their arrival, and ensuring their comfort while they wait. Answering Phone Calls: Handling incoming calls, screening and transferring them to the appropriate department or individual. Additionally, taking messages accurately and relaying them promptly to the intended recipient. Managing Correspondence: Receiving, sorting, and distributing incoming mail, emails, and packages. This may involve coordinating deliveries and arranging courier services as needed. Scheduling Appointments: Booking appointments, meetings, and reservations for clients or staff using scheduling software or manual systems. Keeping track of meeting rooms and ensuring they are properly prepared for scheduled appointments. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable at all times. This includes arranging reading materials, brochures, and promotional materials for visitors to peruse while they wait. Providing Information: Responding to inquiries from clients, visitors, and callers regarding company services, products, policies, and procedures. Providing accurate information and directing them to the appropriate resources or personnel as needed. Assisting with Administrative Tasks: Providing administrative support to various departments as required. This may include data entry, filing, photocopying, faxing, and other clerical duties to ensure smooth office operations. Maintaining Records: Keeping accurate records of visitor logs, appointment schedules, and other relevant information. Ensuring confidentiality and security of sensitive information in compliance with company policies and regulations. Handling Payments: Collecting payments for services rendered, issuing receipts, and processing transactions using cash, checks, credit cards, or electronic payment methods. Reconciling cash drawers and maintaining accurate financial records. Resolving Issues: Addressing and resolving customer complaints, concerns, or requests in a timely and professional manner. Escalating complex issues to management or appropriate personnel for further assistance when necessary. Emergency Procedures: Being familiar with emergency procedures, such as evacuation protocols and first aid procedures. Acting calmly and swiftly in the event of emergencies to ensure the safety and well-being of staff and visitors. Technology Proficiency: Demonstrating proficiency in using office equipment, such as computers, printers, scanners, and multi-line phone systems. Being familiar with relevant software applications and able to troubleshoot basic technical issues.
