Greeting and Welcoming Guests: Welcoming guests and visitors with a friendly and professional demeanor, providing a warm and inviting atmosphere, and addressing their inquiries or directing them to the appropriate person or department. Answering Phones: Managing incoming calls, screening and forwarding calls to the appropriate individual or department, taking messages accurately, and providing information or assistance to callers as needed. Appointment Scheduling: Managing appointment calendars, scheduling appointments, meetings, or reservations for clients or guests, and coordinating with staff members to ensure availability and smooth scheduling processes. Check-In and Check-Out: Checking in guests or clients, verifying identification, processing payments or reservations, and providing information about available services, amenities, or facilities. Similarly, facilitating the check-out process and ensuring guest satisfaction. Administrative Support: Providing administrative support to staff members, including photocopying documents, filing paperwork, sorting mail, and assisting with data entry or other clerical tasks as needed. Customer Service: Providing excellent customer service by addressing guest inquiries, concerns, or requests promptly and professionally, and resolving issues or complaints in a timely and effective manner. Multitasking and Time Management: Managing multiple tasks simultaneously, such as answering phones, assisting guests, and performing administrative duties, while prioritizing tasks and managing time efficiently to ensure smooth operations. Computer Skills: Proficiency in using computer software and office equipment, including word processing, spreadsheet, and email applications, as well as operating multi-line phone systems and office machinery. Communication Skills: Excellent verbal and written communication skills, including the ability to communicate clearly and effectively with guests, colleagues, and other stakeholders, and to maintain professional and courteous interactions at all times. Attention to Detail: Paying close attention to detail when performing tasks such as entering information into databases, recording messages accurately, and ensuring accuracy in scheduling appointments or reservations. Problem-Solving Skills: Demonstrating strong problem-solving skills to address guest concerns or unexpected situations, and to find effective solutions while maintaining composure and professionalism. Confidentiality: Maintaining confidentiality and discretion when handling sensitive information or dealing with confidential matters related to guests, clients, or the organization.
