Job description

Greeting Visitors: Welcoming visitors to the office or establishment in a friendly and professional manner, and directing them to the appropriate person or department. Answering Phones: Managing incoming calls, screening and transferring calls to the appropriate staff members, taking messages, and providing information to callers as needed. Handling Correspondence: Sorting and distributing mail, email, and packages to the appropriate recipients, and assisting with outgoing mail and courier services. Scheduling Appointments: Managing calendars and schedules for appointments, meetings, and conference rooms, and coordinating arrangements as necessary. Customer Service: Providing excellent customer service to visitors, clients, and callers by addressing inquiries, providing information, and resolving issues or concerns promptly and professionally. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable, and ensuring that reading materials and amenities are available for visitors. Administrative Support: Assisting with various administrative tasks such as data entry, filing, photocopying, faxing, and other clerical duties to support office operations. Recording Information: Maintaining accurate records of visitor logs, appointment schedules, and other relevant information using computerized or manual systems. Security Management: Monitoring and managing access to the premises by issuing visitor badges or passes, enforcing security protocols, and ensuring the safety and security of employees and visitors. Communications Coordination: Coordinating communication between departments, employees, and external contacts by relaying messages, forwarding emails, and facilitating interoffice communication. Problem Solving: Handling unexpected situations or emergencies calmly and efficiently, and escalating issues to appropriate personnel when necessary. Multi-tasking: Managing multiple tasks and priorities simultaneously in a fast-paced environment, and adapting to changing circumstances and priorities as needed.
