Greeting and Welcoming Visitors: Welcoming visitors, clients, and guests with a friendly and professional demeanor. Directing visitors to the appropriate person or department and ensuring they feel comfortable and attended to. Answering and Routing Calls: Answering incoming calls promptly and professionally. Screening and transferring calls to the appropriate person or department or taking messages accurately. Managing Visitor Access: Monitoring visitor access and issuing visitor badges as necessary. Ensuring security procedures are followed to maintain a safe and secure environment. Scheduling and Managing Appointments: Scheduling appointments and meetings for staff members. Managing meeting room reservations and coordinating logistics for meetings. Handling Correspondence: Sorting and distributing incoming mail and packages. Assisting with outgoing mail, courier services, and shipping as needed. Administrative Support: Performing basic administrative tasks such as filing, photocopying, and organizing documents. Assisting with data entry and maintaining office records. Customer Service: Providing excellent customer service to clients, visitors, and staff. Addressing inquiries and resolving complaints promptly and courteously. Skills and Qualifications: Communication Skills: Excellent verbal and written communication skills to interact effectively with visitors, colleagues, and external contacts. Customer Service Orientation: Strong customer service skills with a focus on delivering a positive experience for visitors and clients.
