Job description

Greeting Visitors: Welcome visitors, clients, and employees in a warm and professional manner as they enter the office or reception area, creating a positive first impression of the organization. Answering Phone Calls: Handle incoming phone calls, screen and direct calls to the appropriate person or department, take messages, and provide information or assistance to callers as needed. Managing Email and Correspondence: Monitor and manage incoming emails, faxes, and other correspondence, and distribute them to the relevant recipients within the organization in a timely manner. Scheduling Appointments: Schedule appointments, meetings, and conference room bookings for clients, employees, and management using scheduling software or calendar systems, and send meeting invites or reminders as needed. Managing Visitor Log: Maintain a visitor log or sign-in system to record the arrival and departure of visitors, issue visitor badges or passes, and ensure security protocols are followed for access to the premises. Handling Mail and Deliveries: Sort and distribute incoming mail, packages, and deliveries to the appropriate departments or individuals, and coordinate outgoing mail and courier services as needed. Providing Information: Provide information to visitors, clients, and employees about the organization, its products or services, office locations, directions, parking, and other relevant information as requested. Assisting with Administrative Tasks: Assist with various administrative tasks such as filing, data entry, photocopying, scanning, and faxing documents to support the efficient operation of the office and administrative functions. Customer Service: Provide excellent customer service and assistance to visitors, clients, and employees by addressing inquiries, resolving issues or concerns, and providing support or guidance as needed. Maintaining Reception Area: Keep the reception area clean, organized, and presentable at all times, including tidying up magazines, brochures, and promotional materials, and ensuring that seating areas are comfortable and welcoming. Security and Access Control: Monitor access to the premises, enforce security policies and procedures, and alert security personnel or management of any suspicious activities or security breaches. Collaboration: Collaborate with other administrative staff, departments, and teams within the organization to coordinate visitor arrivals, meetings, events, and other activities, and provide support as needed.
