Greeting Visitors: Welcome guests, clients, and employees as they arrive at the office, providing a warm and professional first impression. Answering Phone Calls: Manage incoming calls, transferring them to the appropriate person or department, or taking messages accurately and relaying them promptly. Managing Reception Area: Maintain a clean, organized, and presentable reception area, ensuring it reflects the professionalism and standards of the company. Scheduling Appointments: Schedule appointments, meetings, and conference room bookings, coordinating with staff and updating calendars as needed. Handling Correspondence: Sort and distribute incoming mail and packages, as well as prepare outgoing mail and courier shipments. Administrative Support: Provide administrative assistance to various departments, such as typing, filing, photocopying, and data entry tasks. Visitor Registration: Register visitors, issue visitor badges, and ensure compliance with security procedures, including signing in and out of the premises. Customer Service: Assist clients, guests, and employees with inquiries, directions, and general information about the company and its services. Safety and Security: Monitor access to the premises, enforce security protocols, and respond to emergencies or incidents as necessary. Maintaining Records: Keep accurate records of visitor logs, appointment schedules, and other relevant information, ensuring confidentiality and compliance with privacy regulations.
