Greeting Visitors: Welcoming visitors to the office with a friendly and professional demeanor. This includes greeting them upon arrival, directing them to the appropriate area or person, and ensuring their comfort while they wait. Answering Phone Calls: Handling incoming phone calls in a timely and courteous manner. This may involve transferring calls to the appropriate department or individual, taking messages accurately, and providing information or assistance as needed. Managing Inquiries: Responding to inquiries from visitors, clients, and employees regarding the organization's products, services, or policies. Providing accurate information and directing inquiries to the appropriate person or department for further assistance. Scheduling Appointments: Managing the appointment calendar and scheduling appointments or meetings for clients, visitors, and staff. This includes coordinating meeting rooms, sending out meeting invitations, and ensuring that appointments are scheduled efficiently. Handling Mail and Packages: Receiving, sorting, and distributing incoming mail, packages, and deliveries. This may involve signing for packages, notifying recipients of deliveries, and arranging for courier services as needed. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable at all times. This includes tidying up the waiting area, arranging reading materials or brochures, and ensuring that promotional materials are displayed appropriately. Administrative Support: Providing administrative support to various departments as needed. This may include data entry, filing, photocopying, faxing, and other clerical tasks to assist with office operations. Security Procedures: Monitoring visitor access and ensuring that security procedures are followed. This may include issuing visitor badges, verifying visitor identities, and enforcing security protocols to maintain a safe and secure environment. Technology Management: Operating and maintaining office equipment such as phones, computers, printers, and photocopiers. Troubleshooting basic technical issues and contacting IT support for assistance when necessary. Customer Service: Providing excellent customer service to visitors, clients, and employees. This includes addressing inquiries and concerns promptly, resolving issues effectively, and maintaining a professional and courteous demeanor at all times.
