Answering and Directing Calls: Handling incoming calls, routing them to the appropriate person or department, and taking messages when necessary. Managing Front Desk Operations: Maintaining the appearance and functionality of the reception area, ensuring it is tidy, organized, and presentable. Scheduling Appointments: Coordinating appointments and meetings, scheduling conference rooms, and managing calendars for executives or staff members. Handling Correspondence: Sorting and distributing incoming mail and packages, as well as preparing outgoing mail or courier deliveries. Customer Service: Providing information to visitors or callers regarding the organization's services, products, or policies. Addressing inquiries and resolving issues promptly and professionally. Administrative Support: Assisting with various administrative tasks such as data entry, filing, photocopying, and maintaining records as needed. Security and Access Control: Monitoring and ensuring security procedures are followed, such as issuing visitor badges and managing access to the premises. Technology Management: Operating office equipment such as telephones, fax machines, and photocopiers. Proficiency in using computer software for tasks like word processing, spreadsheets, and email communication.
