Job description

Greeting and Welcoming: Serving as the first point of contact for patients and visitors. Greeting them warmly, answering inquiries, and providing information about the clinic's services, practitioners, and appointment availability. Appointment Scheduling: Managing appointments for patients, either over the phone, in person, or through online booking systems. Ensuring appointments are scheduled appropriately and efficiently to accommodate patient needs and practitioner availability. Patient Registration and Check-in: Collecting patient information, verifying insurance details if applicable, and assisting with the registration process. Ensuring all necessary paperwork is completed accurately and efficiently. Handling Phone Calls and Emails: Managing incoming calls and emails, directing inquiries to the appropriate staff members or departments, and providing accurate information or assistance as needed. Maintaining Reception Area: Keeping the reception area clean, organized, and welcoming. Ensuring reading materials, brochures, and other informational materials are stocked and up to date. Billing and Payments: Assisting patients with billing inquiries, processing payments, and coordinating with billing or insurance departments as necessary. Ensuring confidentiality and accuracy in financial transactions. Medical Records Management: Maintaining patient records and files securely, ensuring confidentiality and compliance with privacy regulations. Retrieving and updating records as needed for patient appointments or inquiries. Supporting Clinic Operations: Providing administrative support to clinic staff and practitioners as required. This may include assisting with administrative tasks such as photocopying, faxing, filing, and data entry. Patient Communication: Communicating with patients regarding appointment reminders, follow-up visits, and any other relevant information. Ensuring effective communication between patients and healthcare providers. Emergency Response: Following clinic protocols in case of emergencies or urgent situations. Alerting appropriate personnel and taking necessary actions to ensure patient safety and well-being.
