Job description

Greeting and Welcoming: Welcoming visitors and guests to the nursing faculty office or department in a friendly and professional manner, creating a positive first impression of the institution. Answering Phones: Managing incoming calls, transferring calls to appropriate personnel, taking messages, and providing information or assistance to callers as needed. Appointment Scheduling: Coordinating appointments, meetings, and events for faculty members, students, and staff, utilizing scheduling software or calendars to manage availability and room bookings. Visitor Assistance: Providing information and assistance to visitors, including directions, campus maps, parking information, and general inquiries about the nursing faculty or university. Administrative Support: Assisting faculty members and administrators with administrative tasks such as photocopying, scanning, filing, data entry, and preparing documents or materials for meetings or presentations. Mail Handling: Sorting and distributing incoming mail, packages, and deliveries to the appropriate recipients, and assisting with outgoing mail and shipping as needed. Student Support: Assisting students with inquiries about programs, admissions, registration, financial aid, and other student services, and directing them to the appropriate resources or personnel for assistance. Record Keeping: Maintaining records, databases, and filing systems related to visitors, appointments, phone calls, and other administrative activities, ensuring accuracy and confidentiality of information. Facilities Management: Monitoring and maintaining the reception area, including tidying up, restocking supplies, and ensuring that the area is clean, organized, and presentable at all times. Emergency Response: Following established procedures for emergency situations, including providing assistance and guidance to individuals during emergencies, and contacting appropriate authorities or resources as needed. Collaboration and Communication: Collaborating with colleagues, faculty, students, and external stakeholders to facilitate communication, coordinate activities, and support the overall functioning of the nursing faculty. Professionalism and Customer Service: Demonstrating professionalism, empathy, and excellent customer service skills in all interactions with visitors, callers, and colleagues, representing the nursing faculty in a positive and professional manner.
