Job description

Greeting Visitors: Welcome visitors, clients, and guests with a friendly and professional demeanor, and direct them to the appropriate person or department. Answering Calls: Handle incoming calls on a multi-line phone system, screen and forward calls to the appropriate individuals, and take accurate messages when necessary. Managing Emails: Monitor and respond to emails in a timely manner, forwarding inquiries to the relevant staff members and maintaining organized email communication. Appointment Scheduling: Manage appointment calendars for staff members, schedule appointments, meetings, and conference room bookings, and send reminders to attendees as needed. Handling Mail and Packages: Sort and distribute incoming mail and packages to staff members, coordinate outgoing mail and courier services, and maintain accurate records of incoming and outgoing mail. Maintaining Reception Area: Ensure the reception area is clean, organized, and presentable at all times, including tidying up magazines, brochures, and promotional materials, and arranging seating for visitors. Data Entry and Filing: Assist with data entry tasks, maintain electronic and physical filing systems, and organize documents and records for easy retrieval. Assisting Visitors: Provide information and assistance to visitors regarding company services, products, and facilities, and offer hospitality services such as offering refreshments and directing them to amenities. Administrative Support: Provide administrative support to various departments, including photocopying, scanning, faxing, and other clerical tasks to assist with office operations. Security and Access Control: Monitor access to the premises by issuing visitor badges, maintaining visitor logs, and enforcing security procedures to ensure the safety and security of employees and visitors. Problem Solving: Handle inquiries, requests, and complaints from visitors and clients with professionalism and discretion, and escalate complex issues to appropriate personnel for resolution. Team Collaboration: Collaborate with other administrative staff members and departments to ensure efficient communication and coordination of tasks and responsibilities.
