Job description

Front Desk Management: Greeting visitors, clients, and employees in a professional and courteous manner. Managing incoming calls, screening and forwarding them appropriately, or taking messages as needed. Appointment Scheduling: Coordinating and scheduling appointments, meetings, and reservations. Updating calendars and notifying relevant parties of schedule changes or cancellations. Customer Service: Assisting clients and visitors with inquiries, providing information about the organization’s services, products, or facilities. Resolving customer complaints or directing them to the appropriate department for resolution. Administrative Support: Performing clerical duties such as photocopying, filing, faxing, and organizing documents. Handling incoming and outgoing mail and packages. Data Entry and Record Keeping: Entering data into computer systems, updating records, and maintaining databases. Ensuring accuracy and confidentiality of information. Office Coordination: Coordinating with other departments to ensure smooth office operations. Ordering office supplies and maintaining inventory levels. Hospitality Services: Providing hospitality services such as offering refreshments to visitors and ensuring reception area cleanliness and tidiness. Directing visitors to appropriate meeting rooms or offices. Communication: Liaising with internal staff, management, and external contacts to facilitate effective communication flow. Handling inquiries via email, phone, or in person in a prompt and professional manner. Security and Safety: Monitoring access to the premises and ensuring compliance with security protocols. Responding to emergency situations and contacting appropriate personnel if necessary.
