Job description

Greeting and Welcoming: Warmly welcoming visitors, clients, and employees as they arrive at the office or facility. Providing a friendly and professional first point of contact and directing them to the appropriate person or department. Answering Phones: Managing incoming calls, screening and transferring calls to the appropriate individuals or departments. Taking messages accurately and ensuring timely follow-up. Managing Email and Correspondence: Monitoring and responding to emails and other forms of correspondence promptly and professionally. Sorting and distributing incoming mail and packages to the appropriate recipients. Scheduling and Calendar Management: Coordinating appointments, meetings, and conference room bookings using scheduling software or calendars. Notifying relevant parties of appointments and changes to schedules as needed. Maintaining Reception Area: Ensuring the reception area is clean, organized, and presentable at all times. Straightening up magazines, brochures, and promotional materials, and replenishing supplies as needed. Visitor Registration: Registering visitors, issuing visitor badges, and ensuring compliance with security procedures. Notifying employees of visitor arrivals and escorting visitors to designated areas as required. Administrative Support: Providing general administrative support to the office or facility, such as data entry, filing, photocopying, and scanning documents. Assisting with document preparation and formatting as needed. Customer Service: Providing exceptional customer service to visitors, clients, and employees. Addressing inquiries, providing information, and resolving issues or concerns in a professional and timely manner. Multitasking and Prioritization: Managing multiple tasks and responsibilities simultaneously while maintaining a high level of attention to detail and accuracy. Prioritizing tasks based on urgency and importance to ensure efficient workflow. Security and Safety: Ensuring the security and safety of the office or facility by monitoring access, enforcing security protocols, and responding to emergency situations or incidents as needed.
