Job description

Patient Interaction: Greeting patients and visitors with a warm and welcoming demeanor. Registering patients by collecting demographic information, insurance details, and updating patient records as necessary. Appointment Scheduling: Scheduling patient appointments for consultations, medical tests, and procedures. Managing appointment calendars, coordinating schedules with healthcare providers, and confirming appointments via phone or email. Phone and Email Communication: Answering incoming phone calls, screening and transferring calls to the appropriate department or personnel. Responding to patient inquiries, providing information about services, appointment availability, and clinic procedures. Handling patient queries via email or forwarding them to the relevant departments for response. Patient Check-in and Check-out: Checking in patients upon arrival, verifying identity, and collecting necessary paperwork or payments. Processing patient check-outs, scheduling follow-up appointments, and providing any required documentation or instructions. Medical Records Management: Ensuring accuracy in maintaining patient records, including filing and retrieving medical records as needed. Handling requests for medical records release in compliance with privacy regulations (e.g., HIPAA in the United States). Administrative Support: Assisting with administrative tasks such as photocopying, scanning, faxing, and mailing documents. Maintaining office supplies inventory and ensuring front desk area is organized and tidy. Patient Confidentiality and Privacy: Upholding strict confidentiality of patient information and adhering to privacy regulations. Safeguarding patient records and ensuring secure handling of sensitive information. Emergency Response: Acting as a point of contact during emergencies, facilitating communication between medical staff, patients, and their families. Following emergency protocols and assisting with emergency preparedness drills as required. Customer Service Excellence: Providing exceptional customer service by addressing patient needs promptly, courteously, and professionally. Resolving patient concerns or complaints effectively and escalating issues to management when necessary. Team Collaboration: Collaborating with healthcare providers, nurses, administrative staff, and other team members to ensure seamless patient care and operational efficiency. Communicating effectively with colleagues to relay patient information and coordinate administrative tasks.
