Job description

Greeting Visitors: Welcoming visitors, clients, and employees as they arrive at the office, and directing them to the appropriate person or department. Answering Phones: Handling incoming calls, routing them to the correct individuals or departments, taking messages, and providing information to callers as needed. Scheduling Appointments: Managing appointment schedules for meetings, conferences, and appointments, and coordinating with staff to ensure availability of meeting rooms or resources. Receiving and Sorting Mail: Collecting incoming mail and packages, sorting and distributing them to the appropriate recipients, and handling outgoing mail and packages as needed. Providing Information: Responding to inquiries from visitors, clients, and employees about the organization, its products or services, office hours, and other relevant information. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable, and ensuring that promotional materials, brochures, and business cards are well-stocked and displayed neatly. Assisting with Administrative Tasks: Supporting administrative tasks such as data entry, filing, photocopying, scanning, and other clerical duties as assigned by supervisors or managers. Handling Security Procedures: Enforcing security procedures such as checking identification, issuing visitor badges, and monitoring access to the premises to ensure the safety and security of the office. Coordinating Deliveries: Managing deliveries and courier services, signing for packages, and notifying recipients of package arrivals for timely pickup or distribution. Emergency Response: Acting as a point of contact during emergencies or security incidents, following established procedures to ensure the safety of employees and visitors, and contacting appropriate authorities as needed. Maintaining Records: Keeping accurate records of visitor logs, appointment schedules, and other relevant information, and ensuring confidentiality of sensitive information as required. Customer Service: Providing excellent customer service to all visitors, clients, and employees, and addressing any concerns or issues they may have promptly and professionally.
