Job description

Greeting Visitors: Welcoming visitors, clients, and guests as they arrive at the office or facility. Providing a friendly and professional first impression by greeting individuals with a smile and offering assistance as needed. Answering Phone Calls: Handling incoming phone calls, screening and transferring calls to the appropriate person or department. Taking messages accurately and relaying important information to staff members in a timely manner. Managing Reception Area: Maintaining a clean, organized, and presentable reception area. Ensuring that the reception desk is well-stocked with necessary supplies such as pens, notepads, and informational materials. Scheduling Appointments: Managing appointment calendars and scheduling meetings, appointments, and reservations for clients or staff members. Coordinating meeting rooms and ensuring that appointments are scheduled efficiently. Handling Mail and Deliveries: Receiving and sorting incoming mail, packages, and deliveries. Distributing mail to staff members and ensuring that packages are logged and delivered promptly. Customer Service: Providing excellent customer service to visitors, clients, and customers. Assisting with inquiries, providing information, and directing individuals to the appropriate person or department. Data Entry and Administrative Support: Performing basic clerical tasks such as data entry, filing, photocopying, and scanning documents. Assisting with administrative tasks as needed to support office operations. Maintaining Security: Monitoring access to the building or office by greeting visitors, issuing visitor badges, and enforcing security protocols. Notifying appropriate personnel of any security concerns or unauthorized individuals. Multitasking and Time Management: Managing multiple tasks and priorities effectively in a fast-paced environment. Prioritizing responsibilities and completing tasks accurately and efficiently. Communication Skills: Demonstrating strong verbal and written communication skills. Communicating effectively with staff members, visitors, and clients in a professional and courteous manner.
