Job description

Greeting Visitors: Welcoming guests to the office with a friendly and professional demeanor. This may involve offering refreshments, providing directions, and notifying relevant staff of their arrival. Answering and Directing Calls: Handling incoming calls, transferring them to the appropriate person or department, and taking messages when necessary. Maintaining a polite and helpful telephone manner is important. Managing Mail and Deliveries: Sorting and distributing incoming mail and packages. Processing outgoing mail and coordinating courier services as needed. Scheduling Appointments: Managing appointment schedules for staff members, clients, and meeting rooms. This includes scheduling, rescheduling, and canceling appointments as necessary. Maintaining the Reception Area: Ensuring that the reception area is clean, organized, and presentable at all times. This may involve tidying up magazines, arranging seating, and displaying company literature or promotional materials. Administrative Support: Providing administrative support to other departments as needed. This could include data entry, filing, photocopying, and other general office tasks. Handling Inquiries: Responding to inquiries from visitors, clients, and callers, and providing information about the organization, its services, and its policies in a clear and courteous manner. Security and Access Control: Monitoring visitor access to the premises, issuing visitor badges, and enforcing security procedures. This may include signing in visitors, verifying identification, and notifying appropriate personnel of any security concerns. Emergency Procedures: Being familiar with emergency procedures such as evacuation protocols and first aid procedures, and taking appropriate action in the event of an emergency. Maintaining Confidentiality: Handling sensitive information with discretion and maintaining confidentiality in all interactions.
