Job description

Greeting Visitors: Welcoming visitors to the organization in a friendly and professional manner, providing them with assistance, and directing them to the appropriate person or department. Answering and Directing Calls: Handling incoming calls, transferring them to the appropriate individuals or departments, and taking messages when necessary. Managing Mail and Deliveries: Sorting and distributing incoming mail and packages, as well as arranging outgoing mail and shipments. Scheduling Appointments: Managing appointment schedules for meetings, interviews, and other events, and ensuring that meeting rooms are reserved as needed. Providing Information: Responding to inquiries from visitors, clients, and employees about the organization, its services, and its policies. Maintaining Reception Area: Keeping the reception area clean, organized, and presentable, including tidying up magazines, brochures, and other materials. Handling Administrative Tasks: Assisting with various administrative tasks such as data entry, filing, photocopying, and faxing documents. Security and Access Control: Monitoring access to the premises, issuing visitor badges, and following security procedures to ensure the safety of employees and visitors. Assisting with Special Projects: Supporting other departments with special projects or tasks as needed, such as event planning or coordinating office activities. Providing Support to Staff: Assisting staff members with administrative tasks, such as booking travel arrangements or ordering supplies, as requested. Maintaining Records: Keeping accurate records of visitor logs, phone calls, and other relevant information, and ensuring that confidentiality is maintained when necessary. Problem Solving: Handling unexpected situations or conflicts that may arise at the front desk with professionalism and diplomacy.
