Greeting Visitors: You warmly welcome visitors, clients, and guests as they arrive at the office or facility. This sets a positive tone and creates a welcoming atmosphere. Answering Calls: You handle incoming phone calls, routing them to the appropriate person or department, taking messages, and providing information or assistance as needed. Clear communication and professionalism are essential in this role. Scheduling Appointments: You manage appointment schedules for clients, customers, or employees, coordinating meeting times, conference room bookings, and other appointments as necessary. Managing Mail and Packages: You receive and distribute incoming mail, packages, and deliveries, ensuring that they reach the intended recipients in a timely manner. You may also prepare outgoing mail and packages for shipment. Customer Service: You provide excellent customer service to visitors, callers, and clients, addressing inquiries, resolving issues, and directing them to the appropriate resources or personnel for assistance. Administrative Support: You provide general administrative support to the office, such as photocopying, filing, faxing, and data entry. You may also assist with organizing meetings, preparing documents, and maintaining office supplies. Maintaining Reception Area: You keep the reception area clean, organized, and well-stocked with brochures, magazines, and other materials for visitors. This helps create a professional and inviting environment for guests. Security and Access Control: You monitor visitor access to the premises, ensuring that only authorized individuals are allowed entry. This may involve issuing visitor badges, signing in guests, and following security protocols. Technology and Equipment: You operate office equipment such as telephones, computers, printers, and photocopiers, troubleshooting any technical issues that arise and contacting support personnel for assistance if needed. Communication and Coordination: You relay messages, information, and requests between different departments or individuals within the organization, ensuring effective communication and coordination of tasks.
