Greeting Visitors and Clients: Welcoming visitors, clients, and guests to the organization in a friendly and professional manner. Providing information, directions, and assistance as needed. Answering and Directing Phone Calls: Handling incoming phone calls, screening and transferring calls to appropriate individuals or departments. Taking messages and providing basic information to callers. Scheduling Appointments: Managing calendars and scheduling appointments or meetings for executives, managers, and other staff members. Coordinating meeting rooms and ensuring availability. Managing Visitor Arrivals: Notifying employees of visitor arrivals, issuing visitor badges, and ensuring visitors sign in and comply with security procedures. Handling Correspondence: Sorting and distributing incoming mail and packages. Assisting with outgoing mail, including postage and courier services. Administrative Support: Performing basic administrative tasks such as filing, photocopying, scanning documents, and maintaining records. Assisting with data entry and maintaining office supplies. Customer Service: Providing excellent customer service to visitors, clients, and employees. Addressing inquiries and resolving issues or redirecting them to appropriate contacts. Maintaining Reception Area: Ensuring the reception area is tidy, organized, and presentable. Monitoring and replenishing supplies such as brochures, magazines, and refreshments. Technology and Equipment: Operating office equipment such as multi-line phone systems, printers, and photocopiers. Basic troubleshooting and coordinating maintenance as needed. Confidentiality and Security: Handling sensitive information with discretion and maintaining confidentiality. Following security protocols to ensure the safety and security of employees and visitors. Communication Skills: Demonstrating excellent verbal and written communication skills. Communicating effectively with a diverse range of individuals, including staff, clients, vendors, and visitors. Team Collaboration: Collaborating with colleagues and other departments to ensure efficient office operations. Providing support and assistance as part of a team-oriented environment.
