Greeting and Welcoming Visitors: Welcome customers, guests, and vendors to the automotive dealership, service center, or corporate office with a friendly and professional demeanor. Direct visitors to the appropriate departments or personnel and provide assistance as needed. Answering and Directing Phone Calls: Manage incoming phone calls, inquiries, and requests from customers, suppliers, and other stakeholders. Transfer calls to the appropriate individuals or departments and take messages accurately when necessary. Appointment Scheduling: Schedule appointments for customers requesting vehicle service, repairs, or test drives. Coordinate with service advisors, technicians, and sales representatives to ensure timely and efficient appointment bookings. Customer Assistance: Assist customers with inquiries regarding vehicle sales, leasing, financing, or service options. Provide information about available inventory, pricing, promotions, and dealership amenities to help customers make informed decisions. Front Desk Operations: Maintain the cleanliness and organization of the reception area, including the reception desk, waiting area, and customer lounge. Ensure that promotional materials, brochures, and marketing collateral are stocked and neatly displayed for customer convenience. Administrative Support: Provide general administrative support to dealership staff, including photocopying, faxing, scanning, and filing documents. Assist with data entry, record-keeping, and other clerical tasks to support operational efficiency. Cash Handling: Process customer payments for vehicle purchases, service invoices, parts orders, and other transactions. Handle cash, checks, and credit card payments securely and accurately, and reconcile daily cash receipts with sales records. Customer Relations: Build positive relationships with customers by providing excellent customer service and addressing their needs promptly and professionally. Handle customer complaints or concerns with empathy and escalate issues to management as necessary for resolution. Sales Support: Assist sales representatives with administrative tasks related to vehicle sales, including preparing sales contracts, processing paperwork, and coordinating vehicle deliveries. Ensure that customer information is accurately recorded in the dealership's customer relationship management (CRM) system. Safety and Security: Monitor the premises for security purposes and report any suspicious activity or safety hazards to management or security personnel. Follow established protocols for visitor access, key control, and emergency procedures to ensure the safety of customers and employees. Team Communication: Communicate effectively with dealership staff, including sales, service, parts, and administrative teams, to relay important messages, updates, and customer requests. Collaborate with team members to provide seamless customer service and support dealership operations. Professional Development: Stay updated on dealership policies, procedures, and product knowledge related to automotive sales, service, and operations. Participate in training programs and workshops to enhance customer service skills, communication techniques, and job proficiency.
