Greeting Visitors: You welcome visitors, clients, and guests as they arrive at the organization's premises. This includes providing a warm and professional greeting, directing them to the appropriate areas, and informing relevant staff members of their arrival. Answering and Directing Calls: You manage incoming phone calls, screening and transferring calls to the appropriate departments or individuals. Additionally, you take messages accurately and relay them promptly to the intended recipients. Responding to Inquiries: You handle inquiries from visitors, clients, and callers by providing information about the organization, its services, products, or events. This may involve answering general questions, providing directions, or referring inquiries to the appropriate personnel. Scheduling Appointments: You assist in scheduling appointments, meetings, or conference room bookings for employees, clients, or visitors. This involves coordinating schedules, confirming appointments, and ensuring that meeting spaces are available and properly equipped. Administrative Support: You provide administrative support to various departments or personnel within the organization. This may include sorting and distributing mail, managing correspondence, filing documents, and performing other clerical tasks as needed. Maintaining Reception Area: You ensure that the reception area is clean, organized, and presentable at all times. This includes tidying up the reception desk, replenishing supplies, and arranging seating for visitors. Security and Access Control: You monitor and control access to the premises by issuing visitor badges or passes, enforcing security procedures, and notifying security personnel of any suspicious activities or concerns. Handling Deliveries: You receive and sign for packages, deliveries, and courier services, and ensure that they are promptly forwarded to the appropriate recipients or departments. Emergency Response: In the event of emergencies such as fire alarms or medical incidents, you follow established protocols to ensure the safety and well-being of visitors and employees. This may involve assisting with evacuations or contacting emergency services as necessary. Professionalism and Customer Service: You maintain a professional demeanor and provide excellent customer service to all visitors, clients, and employees.
