Job description

Greeting and Welcoming Visitors: Welcoming visitors and clients with a warm and professional demeanor, and directing them to the appropriate person or department. Answering and Directing Phone Calls: Handling incoming calls, screening and transferring calls to the appropriate individuals, and taking messages as needed. Scheduling Appointments: Managing the organization's calendar and scheduling appointments, meetings, and conference rooms for staff and visitors. Managing Incoming and Outgoing Mail: Sorting and distributing incoming mail and packages, and preparing outgoing mail for pickup or shipment. Maintaining Reception Area: Ensuring the reception area is tidy, organized, and well-presented at all times, including magazines, brochures, and promotional materials. Administrative Support: Assisting with administrative tasks such as filing, photocopying, data entry, and preparing documents or reports as requested. Customer Service: Providing exceptional customer service by addressing inquiries, resolving issues or concerns, and ensuring a positive experience for visitors and callers. Handling Visitor and Employee Security: Monitoring access to the premises, issuing visitor badges, and following security protocols to maintain a safe and secure environment. Communication Coordination: Coordinating communication between departments and individuals within the organization, and relaying messages promptly and accurately. Maintaining Records: Keeping records of visitor logs, appointments, and other relevant information, and updating contact databases as necessary.
