Job description

Greeting Visitors: Welcome visitors to the organization with a friendly and professional demeanor. Provide directions, assistance, and information as needed to ensure visitors feel welcomed and comfortable. Answering Calls: Manage incoming phone calls, screen and direct calls to the appropriate person or department, take messages accurately, and provide information to callers as required. Managing Reception Area: Maintain a clean, organized, and presentable reception area. Ensure that reading materials, brochures, and other resources are readily available for visitors. Scheduling Appointments: Schedule appointments, meetings, and conference room bookings for staff and visitors. Coordinate with team members to ensure availability of meeting spaces and resources. Handling Correspondence: Receive and distribute mail, packages, and deliveries. Sort and route incoming mail and packages to the appropriate recipients, and assist with outgoing mail and shipping as needed. Administrative Support: Provide general administrative support to staff members, such as photocopying, scanning, filing, and data entry. Assist with special projects and tasks as assigned by management. Security and Access Control: Monitor access to the building and ensure that visitors sign in and out as required. Issue visitor badges and maintain visitor logs to track entry and exit. Customer Service: Provide excellent customer service to visitors, callers, and employees. Handle inquiries, requests, and complaints promptly and professionally, and escalate issues as necessary to ensure resolution. Technology Management: Operate and maintain office equipment such as telephones, fax machines, printers, and photocopiers. Troubleshoot minor technical issues and coordinate repairs with IT support when needed. Emergency Response: Follow established procedures for responding to emergencies such as fire alarms, medical emergencies, or security incidents. Take appropriate action to ensure the safety and well-being of staff and visitors.
