Greeting Visitors: Welcome visitors, clients, and guests to the office in a friendly and professional manner. Direct visitors to the appropriate person or department and provide them with any necessary information or assistance. 2. Answering Phone Calls: Answer incoming phone calls promptly and courteously, screening and transferring calls as necessary. Take messages accurately and relay them to the appropriate staff members in a timely manner. 3. Managing Mail and Deliveries: Receive and sort incoming mail, packages, and deliveries, distributing them to the appropriate recipients. Prepare outgoing mail and packages for shipment via postal or courier services. 4. Scheduling and Coordination: Manage appointment calendars and schedule meetings, appointments, and conference rooms for staff members. Coordinate meeting logistics, including room setup, catering arrangements, and audiovisual equipment. 5. Administrative Support: Provide administrative support to various departments, including typing, filing, photocopying, and data entry. Assist with the preparation of documents, reports, presentations, and correspondence as needed. 6. Maintaining Reception Area: Keep the reception area clean, organized, and presentable at all times. Ensure that reading materials, brochures, and promotional materials are stocked and neatly displayed. 7. Communication Skills: Communicate effectively and professionally with visitors, clients, and staff members, both in person and over the phone. Listen attentively to inquiries and provide accurate information or assistance in a courteous manner. 8. Multitasking and Time Management: Handle multiple tasks and requests simultaneously while maintaining attention to detail and accuracy. Prioritize tasks effectively to meet deadlines and ensure smooth office operations. 9. Problem-Solving Abilities: Resolve visitor inquiries, issues, or concerns promptly and effectively. Exercise discretion and judgment in handling sensitive or confidential information. 10. Customer Service Orientation: Demonstrate a customer-centric approach in all interactions, anticipating needs and providing exceptional service to visitors and staff.
