Welcoming Visitors: Greeting guests and visitors as they arrive, making them feel comfortable and ensuring they're directed to the appropriate person or department. Answering Phones: Managing incoming calls, routing them to the correct department or person, taking messages, and providing general information to callers. Scheduling Appointments: Booking appointments, meetings, and conference rooms, and maintaining organized schedules for staff members. Handling Correspondence: Receiving and distributing mail, emails, and faxes, as well as drafting and sending correspondence on behalf of the company. Administrative Support: Assisting with various administrative tasks such as data entry, filing, photocopying, and maintaining office supplies. Maintaining Reception Area: Keeping the reception area tidy and organized, ensuring it reflects a professional image of the company. Providing Information: Offering basic information about the company, its services, and its policies to visitors and callers. Assisting with Security: Monitoring access to the building, issuing visitor badges, and following security protocols to ensure the safety of employees and visitors. Handling Payments: Processing payments for services or products, managing invoices, and coordinating with the finance department as needed. Problem Solving: Handling any issues or concerns that arise from visitors, callers, or staff members, and finding appropriate solutions.
